Note:
From now on, Automation = Computerization
2. Business Needs
Q: What problem or manual process do you think SumiCare could assist in improving for your organization?
A: SumiCare could assist us in consolidating the booking system, that is, in automating processes such as digital task assignment, automated treatment slip production, and automated production of reports for every cut-off and working day. [RETCONED! DO NOT USE “AUTOMATE”]
Q: If you implemented SumiCare what are you hoping to implement?
A: I’m hoping for faster task completion through automation.
3. Current System / Process
Q: What attempts have you or the company made in the past to enhance your manual processes (paper generation of treatment slips, cut-off reports, and others)?
A: None—we have not made any enhancements in the past.
4. User Requirements
Q: What are the essential functionalities that SumiCare must have?
A: Create schedules for massages and room bookings, and lessen the manual labor. Furthermore, it also has to be adaptive when dealing with changes. As for the process of the booking, this requires several steps, from taking the orders of the clients to assigning therapists, looking for an available room, tracking the time of completion, getting the commissions, and handling additional requirements from the client at any given time.
Q: How will the development and implementation of SumiCare serve users? What benefits specifically do you expect?
A: The staff and the management because it will reduce manual tasks and provide more centralized access to the reports we need. We expect that the reports given to us by the system are accurate because one mistake can create a big problem, the Domino effect, and the scheduling could hinder the operation.
Q: What other criteria does SumiCare need in addition to the essential functionalities?
A: The reports need to show the most requested therapist, the most requested massage service, and to see whether the client requests to change therapists in order to evaluate the performance of our therapists. Finally, it should be able to call up transactions even outside the company’s area 1
5. Rules and Standards
Q: Are there any rules, conventions, or standards we need to consider when developing and implementing SumiCare?
A: Accessibility is a big deal. The intended system has to cater to the needs of both our staff and our clients, but especially our staff, since in helping them, they may be better able to serve the clients.
6. Preferences for Deployment
Q: What type of deployment do you prefer for SumiCare: a web application, a desktop app, or a mobile app? And why?
A: For ease of implementation and access, we would much prefer a web application.
Q: If this is a web application, where will the web application be hosted?
A: Right now, I think it should be hosted in the cloud. However, if installing it on premises is more cost-effective and efficient, then we would decide on that.
7. Security and Availability
Q: What kind of security features should SumiCare include?
A: There should be a strong user validation for authentication. Also, since we prefer to use the cloud, we expect that the security your system will provide will not be penetrable, as the information inside is confidential.
Q: Does the system need to operate in a continuous fashion, 24/7?
A: Yes, it must operate continuously, including holidays.
8. Technical Constraints
Q: Do you currently have a server and database infrastructure in place inside your company? If you do, will this be sufficient to support SumiCare and its anticipated usage rate?
A: We have one server in place, but if you need anything, the company will make whatever is needed available.
9. Data Needs
Q: What will the data requirements for SumiCare look like? What will you need to store and manage?
A: It should store system data and audit logs. Furthermore, it should store transaction data, client data [very important caveats regarding this], and staff data, etc 2.
- Maintenance & Support
Q: Who will maintain the system? Will we be responsible for ongoing maintenance?
A: Our technical specialists will handle the maintenance, but might need some assistance from your team periodically.
Q: Should we create complete technical documentation for SumiCare (separate from any thesis or paper documentation)?
A: Yes, we would like as much technical documentation as possible.
